
Office Fit-Out Handover: The Snag List, Certificates and Documents to Collect Before Final Payment
The last two weeks of an office fit-out decide how smoothly your team moves in. Many companies in Noida and Delhi NCR release the final payment as soon as the space “looks ready” — and then spend months chasing leaking AC drains, loose hinges and missing warranty cards. A structured handover prevents that.
When to raise the snag list
Do a joint walkthrough with your contractor when work is around 95% complete — after painting and before the final deep clean. Walk every room with the approved drawings in hand, record each issue with a photo and its location, and agree a closing date for the list.
What to check during the walkthrough
- Ceilings and walls: cracks, uneven paint, gaps at joints, water stains.
- Flooring: hollow tiles, lifted vinyl, carpet seams, skirting finish.
- Doors and glass partitions: alignment, locks, door closers, safety manifestation on glass.
- Furniture: workstation stability, drawer locks, cable management, edge banding.
- Electrical: every switch, socket, light and emergency light; distribution boards labelled.
- HVAC: temperature in every zone, drain lines, noise from diffusers.
- Pantry and washrooms: leaks, water pressure, slope towards drains.
- Fire and safety: sprinkler and smoke-detector positions after ceiling work, exit signage.
- IT: data points tested and labelled, rack and UPS wiring tidy.
Certificates and test reports to insist on
- Electrical installation test report (insulation resistance and earthing).
- Fire-alarm and sprinkler test reports, plus the building’s fire-safety sign-off where applicable.
- HVAC testing, balancing and commissioning report.
- Compliance certificates for specified fire-rated doors, glass and boards.
- Warranty cards for furniture, chairs, AC units, lighting and hardware.
The handover dossier
- As-built drawings — civil, electrical, HVAC, plumbing and furniture layout.
- Final BOQ with measured quantities.
- Product details: model numbers, colour and finish codes for future repairs.
- Operation and maintenance manuals.
- Keys register and access-card list.
- Service contacts for every installed system.
Write the defect liability period clearly
Before the final payment, agree in writing a defect liability period — commonly 6 to 12 months for workmanship — during which the contractor fixes defects at no cost. Many companies hold back a small retention, often around 5%, until the period ends. Also specify response times, for example 48 hours for critical issues such as leaks or power faults.
A simple rule for the final payment
Release the final payment only when three things are done: the snag list is closed and signed, the certificates and dossier have been handed over, and the defect liability terms are signed by both sides.
